When a university sources gowns or hoods internationally, a familiar product name is not proof that the item matches its ceremony dress code. The useful starting point is an approved specification that both the institution and supplier can check.
Use your institution's rules, not a generic colour chart
List each degree, school and ceremonial role that needs dress, then attach the university's current approved reference for that group. For each garment, record the silhouette, colours, trim, hood shape and placement of any embroidery or crest. State whether a cap, tam, tassel, hood or stole is included or must be supplied separately. Ask the institution's ceremony team to sign off the reference, not only the purchasing team.
Request a sample or visual approval
If an existing gown must be matched, share a clear photo or an approved sample with measurements. Review the proposed finish against the original in good light. Resolve any difference in colour, trim, fasteners or crest placement before the rest of the order is made. Keep the final agreed version with the purchase record so a later reorder does not start from a guessed description.
