Convocation gown distribution in India: a practical campus-day plan

Ordering academic dress is one task. Getting the right gown to each person on ceremony day is another. A distribution plan should match the university's approved dress code, graduate list and venue flow before cartons arrive on campus.

Sign off the dress code first

Ask the convocation office to approve the gown, cap or hood for each degree group and the dress for faculty and ceremony officers. Do not assume that students and faculty wear the same colour, or that a hood colour follows a universal rule. Keep the approved reference image or sample with the final item list. Where departments have different dress, mark each carton and issue register by degree and department. For pieces that need to match an existing design, confirm the details in writing rather than relying on a product photo.

Set up the collection point

Choose where people will collect their regalia, who will check their names, and who will handle a size issue. Sort garments by degree group and size; keep caps, tassels and hoods in their own labelled units so staff can see what has been issued. Put a mirror and a trained helper where graduates can check the fit and how the hood sits before joining the queue.

Publish a collection window and room number with the ceremony instructions. Decide what happens after the ceremony

For university-owned gowns, identify the return desk, the person recording returns and the storage or cleaning handoff. For individually purchased dress, explain which items graduates keep. If the arrangement is a rental, write down the agreed return process before issue.
